Privacy Policy

At Nuvela AI, your privacy is foundational — not an afterthought. This policy explains what information we collect, how we use it and the choices you have. We've written it in plain English because we believe you deserve to understand exactly how your health information is handled.

1. Who we are

Nuvela AI LLC ("Nuvela AI," "we," "us" or "our") is a software company based in Simpsonville, South Carolina. We operate the Nuvela AI application at nuvela.app, which helps individuals and families understand their healthcare documents through AI-powered plain-English explanations.

2. Important notice — we are not a covered entity

Nuvela AI is an educational software tool. We are not a healthcare provider, health plan or healthcare clearinghouse. As a result, we are not currently a "covered entity" under the Health Insurance Portability and Accountability Act (HIPAA).

This means your documents and information shared with Nuvela AI are protected by this Privacy Policy and our Terms of Service — not by HIPAA. We encourage you to review this policy carefully and to never upload documents containing information you are not comfortable sharing with a software service.

We take the sensitivity of health information extremely seriously and have designed our service with privacy as a core principle.

3. Information we collect

Information you provide directly

  • Account information — your name, email address and password when you create an account
  • Family profile information — names, relationships and dates of birth you enter for family members
  • Healthcare documents — text, PDFs and images you upload for analysis
  • Medications and appointments you manually enter into the app
  • Payment information — processed securely by Stripe; we never see or store your full card number

Information collected automatically

  • Log data — IP address, browser type, pages visited and timestamps
  • Device information — device type, operating system and screen resolution
  • Usage data — features used, documents uploaded (count only) and session duration

Information we do NOT collect

  • We do not collect Social Security Numbers or government ID numbers
  • We do not collect biometric data
  • We do not sell your data to advertisers or data brokers
  • We do not use your health information to train AI models

4. How we use your information

We use the information we collect to:

  • Provide, maintain and improve the Nuvela AI service
  • Process your healthcare documents and generate plain-English care guides
  • Send your documents to our AI provider (Anthropic) for analysis — see Section 5
  • Process payments through Stripe
  • Send you account-related emails such as confirmation and receipts
  • Respond to your support requests
  • Monitor for fraud, abuse and security threats
  • Comply with legal obligations

We do not use your health information for advertising, marketing profiling or sale to third parties.

5. De-identification before AI processing

When you enable the "Remove personal identifiers" option — which is turned on by default — Nuvela AI automatically strips the following categories of information from your document text before it is sent to our AI provider:

  • Full names (patient and provider)
  • Social Security Numbers
  • Phone numbers and fax numbers
  • Email addresses
  • Street addresses and ZIP codes
  • Dates of birth
  • Medical record numbers (MRN)
  • Insurance and member ID numbers
  • National Provider Identifiers (NPI)
  • DEA registration numbers

These identifiers are replaced with neutral placeholders such as [PATIENT NAME REMOVED] before leaving your device. Uploaded PDF and image files are sent as encoded data and our AI returns plain-English explanations that refer to "you" and "your provider" throughout.

You may disable de-identification if you prefer to send documents as-is. This choice is yours and can be changed at any time within the upload interface.

6. How we share your information

We share your information only in the following limited circumstances:

Service providers

  • Anthropic — our AI provider that powers document analysis. Documents are sent to Anthropic's API for processing. Anthropic does not use API data for model training.
  • Supabase — our database and authentication provider, hosted on secure cloud infrastructure.
  • Stripe — our payment processor. Stripe handles all payment card data under PCI DSS compliance.
  • Vercel — our hosting provider for the Nuvela AI web application.

Legal requirements

We may disclose your information if required by law, court order or government authority, or if we believe disclosure is necessary to protect the rights, property or safety of Nuvela AI, our users or the public.

Business transfers

If Nuvela AI is acquired, merged or sold, your information may be transferred as part of that transaction. We will notify you before your information is transferred and becomes subject to a different privacy policy.

With your consent

We may share your information in other ways if you explicitly consent, such as when you invite a caregiver to view your care guide.

7. Data storage and security

Your account data and care guides are stored securely in Supabase, a cloud database platform with row-level security enabled on all data tables. This means your data is isolated from other users at the database level — not just the application level.

Uploaded documents are stored in a private storage bucket and are not publicly accessible. Document storage paths are unique and unguessable.

We use HTTPS encryption for all data in transit. Passwords are hashed and never stored in plain text.

No security system is perfect. While we work hard to protect your information, we cannot guarantee absolute security. We encourage you to use a strong password and to log out when using shared devices.

8. Data retention

We retain your account information and care guides for as long as your account is active. If you delete your account, we will delete your personal information and care guides within 30 days, except where we are required to retain it for legal or accounting purposes.

Upload counts and billing records are retained for 7 years as required by tax law.

You may request deletion of your data at any time by emailing support@nuvela.app.

9. Your rights and choices

Depending on where you live, you may have the following rights regarding your personal information:

  • Access — request a copy of the personal information we hold about you
  • Correction — request that we correct inaccurate information
  • Deletion — request that we delete your account and personal information
  • Portability — request your data in a portable format
  • Opt-out — opt out of any marketing communications at any time

To exercise any of these rights, email us at support@nuvela.app. We will respond within 30 days.

10. Children's privacy

Nuvela AI accounts are intended for users 18 and older. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has provided us with personal information, please contact us at support@nuvela.app and we will delete it promptly.

Family plan accounts may include profiles for minor children. In these cases, the account holder (an adult) is responsible for the information entered on behalf of minors.

11. Cookies and tracking

Nuvela AI uses essential cookies to keep you logged in and maintain your session. We do not use advertising cookies, tracking pixels or third-party analytics that share your data with advertisers.

We may use privacy-respecting analytics to understand how the app is used in aggregate — for example, which features are most popular. This data is not tied to your identity.

12. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page and notify you by email if the changes are material. Your continued use of Nuvela AI after changes take effect constitutes your acceptance of the updated policy.
